    First, we’ll create a sleek, professional invoice template that will serve as the foundation for our automated invoicing system.

    1. Open a new Excel workbook and name it “Invoice Automation System”.
    2. In cell A1, type your business name and format it with a large, bold font.
    3. Add your business details (address, phone, email) in cells A2:A5.
    4. In cell A7, type “INVOICE” and format it to stand out.
    5. Create a table for invoice details:
      • A9: Invoice Number
      • A10: Date
      • A11: Due Date
    6. Create a table for client details (we’ll automate this later):
      • A13: Client Name
      • A14: Client Address
      • A15: Client Email
    7. Set up your item table starting at row 18:
      • A18: Item
      • B18: Description
      • C18: Quantity
      • D18: Unit Price
      • E18: Total
    8. Name the worksheet “Invoice”. [customize your invoice as you wish to look great] Your invoice should be similar to or look better than this image.

    Pro Tip: Use Excel’s built-in table feature (Insert > Table) for your item list. This will automatically extend formulas as you add new items. Also, add a logo and relevant colors in your template to show your brand identity.

    Creating a Client Database

    VLOOKUP is the star of our automatic invoice processing system. It allows us to automatically pull client information based on a unique identifier.

    1. Go back to your invoice worksheet. 
    2. In cell B9 (next to “Invoice Number”), create a drop-down list of Client IDs:. Follow these steps:
      • Select cell B9
      • Go to the Data tab, under “Data Tools” select Data Validation.
      • In the Data Validation dialog box, Set “Allow” to “List”
      • In the Data Validation dialog box, click in the  “Source” box and enter the following: =ClientDB!$A$2:$A$50 [The range depends on you].
    3. Now, let’s use VLOOKUP to populate client details as follows:
      • In cell B13 ( for Client Name), enter: =VLOOKUP($B$9,ClientDetail,2,FALSE) {ClientDetail is the name of the table we created for our client’s database. You can substitute it for the range ClientDB!$A$2:$A$20)
      • In cell B14 (for Client Address), enter: =VLOOKUP($B$9,ClientDetail,3,FALSE)
      • In cell B15 (for Client Email), enter: =VLOOKUP($B$9,ClientDetail,2,FALSE)

    Now, when you select a Client ID from the drop-down list in cell B9, the client’s details will automatically populate.

    Pro Tips (Optional):

    In the Client database, you can include columns for tasks or project type and hourly rate. By this, you can extend the Vlookup function in the Invoice Items section to populate the description and hourly rate. When creating your invoice you can only input the total hours worked.

    If you added the items above, your updated table should look like this:

    Automating Calculations

    In this section, we’ll add formulas to calculate the totals, subtotal, and tax amounts in their respective cells in our invoice template.

    Let’s add some formulas to automate our calculations. This will complete the invoice automation process.

    1. In cell E18 (first Total cell), enter: =C18*D18
    2. The formula will automatically fill down the other total rows in the table. If you are using range, use autofill handle to drag this formula down to automatically calculate totals for each item.
    3. In cell D23, enter “Subtotal” and in E23, sum the totals: =SUM(E18:E22)
    4. In cell D24, enter “Tax Rate” and in E24, enter your default tax rate (e.g., 7.5%)
    5. In cell D25, enter “Tax Amount” and in E25, calculate the tax: =E23*E24
    6. In cell D26, enter “Total Due” and in E26, sum the subtotal and tax: =E23+E25

    Pro Tip: Use the ROUNDUP function to ensure your totals are always rounded to two decimal places, e.g., =ROUNDUP(E23+E25, 2)

    Customizing for Different Regions and Currencies

    Since freelancers deal with clients worldwide, our invoices must capture different currencies. In this section, we’ll customize our invoice to adapt to various regions and currencies.

    To make our invoice automation system truly global, let’s add currency customization:

    1. In the ClientDB sheet, add a new column H1: “Currency Symbol”
    2. Fill in the appropriate currency symbols for each client (e.g., $, €, £)
    3. In your invoice sheet, add a new cell A6 for the currency symbol
    4. In B6, use VLOOKUP to pull the correct symbol: =VLOOKUP($B$9,ClientDetail,8,FALSE)
    5. Update your Total Due cell to reference this currency symbol by entering the following formula:
      • In Cell E26, enter: =CONCAT($B$6,SUM(E23,E25))

    Here, we shall use the activities of Jay, a freelancer who specializes in content creation and data entry. He has numerous jobs in which he should deliver on specific days to meet with client’s requirements. Let’s get started.

    Step 1: Lay the Foundation

    First, we’ll set up the basic structure of our timeline.

    1. Open Excel and create a new workbook. Save the workbook with a suitable name, say, Project Timeline. [If you are new to Excel, learn how to open Excel and create a file using this tutorial: How to Open MS Excel Spreadsheet]
    2. Set a title for the timeline: In cell A1, type “Freelance Project Timeline” (You may choose any other title). Customize the title by increasing the font size and bolding the text.
    3. In row 4, add these headers:
      • A4: Task Name
      • B4: Start Date
      • C4: End Date
      • D4: Status
      • E4: Comment

    Using Jay’s projects, let’s add some project data into our timeline worksheet:

    1. In column A (starting from A5), list your project tasks. For example:
      • Task 1: AI Content Generation

        • Task 1b: Create daily posts and submit for post scheduling
      • Task 2: Website Redesign
        • Task 2a: Sketch the structure and features of the new website
        • Task 2b: Purchase a suitable WordPress template and customize accordingly
        • Task 2c: Add content to the website
        • Task 2d: Complete and publish the website for testing, etc.
    2. In columns B and C, enter start and end dates for each task listed above.
    3. Leave column D blank for now – we’ll add a dropdown list here later.

    Note: You can adjust the column widths to contain the tasks, or use the Wrap Text command on the Home tab > Alignment group to wrap the tasks into multiple lines within a cell.     Step 3: Create a Status Dropdown Menu

    With step 2 done, let’s add a dropdown menu for project status in our project timeline:

    1. Select cells D5:D17 simultaneously (or however many tasks you have).
    2. Go to the Data tab, under the Data Tools group, select Data Validation.
    3. In the Data Validation window, on the Settings tab, under Validation criteria select List from the Allow: dropdown list.
    4. Set the “List” source to: Not Started, In Progress, Completed, and click OK.

    If you select any of the cells in the status column, you’ll see a dropdown list. Using a dropdown list can substantially reduce data entry errors, use it where necessary.

    Step 4: Build Your Dynamic Timeline

    Let’s add a timeline column using column F. However, we’ll use the generated date sequence number to represent the timeline heading.

    1. In cell F4, instead of entering Timeline as heading, enter this formula: =SEQUENCE(1,31,TODAY(),1) and press Enter to generate an array of 31 dates starting from TODAY(). However, you can replace the “TODAY()” function with an actual date, e.g., 15/09/2024.
    2. If you are using an older version of Excel, you might need to press Ctrl+Shift+Enter on the keyboard to create the date array.
    3. In cell F5, enter this formula: =IF(AND($B5<=F$4,$C5>=F$4),1,””). [Be conscious of your cell references] This formula is used as a test for the timeline and to simplify the conditional formatting section. We can instead use a direct formula in the conditional formatting step.
    4. Use the autofill handle to copy the above formula across your timeline range (mine is F5:AJ17). However, you must manipulate the cell references using absolute, relative, and mixed cell references.

    Step 5: Add Color with Conditional Formatting

    In this step we’ll use conditional formatting to add color to our timeline. Each color will help us understand whether the project has been completed, is in progress or not started.     1. Select your timeline range (F5:AJ17).
    2. On the Home tab, under Styles group, select Conditional Formatting, andclick on “New Rule” from the list.
    3. In the New Formatting Rule dialog box, choose “Use a formula to determine which cells to format”.
    4. In the “Format values where this formula is true box:”, Add these three rules one after the other:
      • Enter the formula: =AND($D5=”Not Started”,F5=1). If you did not use the function in Step 4 (3) above, youcan use this: =AND($D5=”Not Started”, $B5<=F$4, $C5>=F$4)
      • Click on the Format button and select Light Red Fill
      • Click OK when you are done to finish with the first rule.

    Tip: To ensure that your timeline is working properly, you can adjust the start and end dates to see the color of the timeline change accordingly. Always be conscious of tasks with light red. These are tasks the start date has passed yet you’ve not started it.

    You can decide to enhance your timeline and make it look great by formatting it as you wish. For example, you can make these changes depending on the nature of your project:

    1. Format the dates array in row 4 to show as “dd-mmm” (e.g., 01-Oct).
    2. Add gridlines to separate tasks. You can turn on gridlines or use line borders.
    3. Create a legend explaining your color coding. This will help users understand how to use the timeline.
    4. Add a title and a logo for a professional touch.

    2. Go to “Admin” > “Custom Definitions” > “Custom Dimensions.” You can search for Custom definitions using the search tool.
    3. Click “Create Custom Dimension” and enter a name (e.g., “Voice Search Query”).
